18 unique conferences for the Dutch Presidency 
of the European Union

Dutch minister of Health, Welfare and Sports — EU chairmanship

“Interactive conferences that make a difference!” With this mission stated by the Dutch minister of Health, Welfare and Sports in mind, we put ourselves to the test and designed 18 different concepts that would enhance each topic and generate maximum impact. The 18 conferences and side-events took place from January till the end of June 2016, although the initial preparations already started in the summer of 2015. We won the tender issued by the Ministry of Health, Welfare and Sports and were chosen as the one and only dedicated event agency to organize all 18 conferences. A unique challenge, that occurs only once every 14 years when The Netherlands preside the European Union.

Approach

On a site near the heart of Amsterdam a special conference location was built, dedicated to most of the events. Within the limitations of a standardized environment we wanted to add an element of surprise and meaning for each conference. A dedicated team, composed of one creative expert, one program manager, two project managers and one traffic manager, was responsible for a distinctive approach and smooth organization. The kick off conference for example handled the edgy topic of antimicrobial resistance. Working towards a One Health approach within the European Union, we started by publishing a newspaper for all European ministers. Preparing them for a scenario based policy discussion by showing the different approaches and creating awareness to cooperate. A high-level conference on Food Product Improvement by reducing salt, saturated fats and calories was another special event. Many high-level representatives from European states, the World Health Organization, the European Commission and public and private organizations actively contributed to this conference. And so on…

Results

18 conferences. For each of them we added value by enhancing the content of all topics. Everything had meaning – the program, the creative concept, the communication means, the discussions, the lay-out – so each event could have maximum impact. We facilitated the European ministers and policy makers in the best possible way. So they could connect, share visions and create roadmaps with a long lasting effect on European health policies. The interactive conferences led to several results. For example the launch of a dementia friendly society, an agreement on the approach of antibiotic resistance and agreements on healthier food throughout the European Union. Also the E-health week was the first to include patients in the program.
